Department: Administration
Section/Unit: Human Resource Management.
Reports to: Country Manager


Job Purpose
Responsible for Personnel management, facilitation and general staff wellness.


Main Responsibilities of the Job
• Recruitment-Draft and share Internal Job adverts when there is need to recruit and fill a position, ensure smooth onboarding of New staff.
• Develop and Training Calendar for areas identified at the Appraisal level, for both internal and External Training, develop a schedule of Training for approval, track and ensure all the Trainings are conducted and ticked off.
• ESG Reporting-Ensure to report any incidences with the ESG Department within the required threshold of 72hours.i.e. accidents, attack on staff by clients, general accidents while at work.
• Check to ensure that all Staff have Complete files both in soft and in hard copies as per the tabulated requirements.
• Follow up with the Medical Provider through Viva on preparing wellness programs for staff.
• Do reference checks for all new Placements and ensure this are all received before Offer is sent to the relevant selected individual.
• Preparation of Employment Contracts for staff and ensuring they are fully signed and copies maintained in the personnel files, ensure all relevant documents are all provided.
• Ensure and push to ensure all staff have read the Staff handbook and signed off in their portal, send reminders frequently.
• Track End of Probation/ Contracts Dates for all Contracts and share the assessment report with respective HODs for advice.
• Ensure that Once performance appraisal is done individual agreed scores are signed off and file appropriately.
• Check to always ensure that all staff files are updo date and kept in confidentiality.
• Assess Staff participation on the PLA Training Platform and ensure to remind all to take part, ensure onboarding communication of new staff, also help in coming up with topics/areas Training is required.
• Manage office cleanliness to ensure its well cleaned and aired all the time.
• Ensure Employee card in Dynamics HR admin system is fully filled and up to date.
• Work with the HR Team in coming up with the Corporate Social Responsibility programs to be undertaken and make sure this is executed as required.
• Ensure All Staff are compliant with the Code of Conduct.
• Send regret emails to candidates who did not pass interview for the specific positions applied.
• Any other duty as assigned by immediate supervisor.


Academic and Professional Requirements
• Bachelor’s in Human Resource Management.
• HR Professional Certification is an added advantage.
• 2-3 years of work Experience in HR management.


Skills and Competencies
• Excellent problem-solving skills.
• Have excellent analytical skills.
• Have good report writing/computer skills.
• Excellent communication skills, interpersonal/customer handling skills.
• High level of confidentiality.
• Extremely resourceful.
• Strong understanding of formal project management methodologies.
