Job Purpose:


Responsible for managing the front desk, acting as the first point of contact for visitors and
clients, and providing administrative support.
Duties and Responsibilities:



  1. Screen calls and take messages.

  2. Process bills and help clients or customers if they have any questions about their
    charges.

  3. Organize files for billing, customer and client records, etc.

  4. Direct visitors to the correct office.

  5. Respond to all customer inquiries in a polite and timely manner.

  6. Effectively answer and direct phone calls to the correct department.

  7. Welcome and greet visitors in a warm and friendly manner, and answer any
    questions visitors may have.

  8. Maintain and stock the reception area and all common areas in a clean and tidy
    manner at all times.

  9. Operate standard office equipment on a regular basis, including copy machine, and a
    computer.

  10. Keep detailed and accurate records of visitor requests and of calls received.

  11. Receive deliveries; sort and distribute incoming mail.

  12. Take inventory of supplies and restock as needed.

  13. Maintain the general office filing system.

  14. Perform other administrative duties as required to support the mission and function of
    the company.

  15. Provide additional support to all sales and marketing team as needed


Qualifications & Work Experience:



  1. Uganda Advanced Certificate of Education with at least two principal passes

  2. A minimum of Diploma in Secretarial Studies.

  3. Training in Customer Care and Communication Skills is a must.

  4. At least two (2) years’ work experience as a professional Receptionist in a busy
    organization preferably in fast moving business environment.

(ii) Must be computer literate.
(iii) High level of integrity and confidentiality.
(iv) Time management
(v) Ability to meet set deadlines.
(vi) Customer care skills
(vii) Record keeping skills
(viii) Attention to details.
