We are seeking a highly organized, proactive, and detail-oriented Administrator to support and streamline operations for our growing medical tourism company. This outsourced role will be central to ensuring smooth coordination between international patients, healthcare providers, partner hospitals, and internal teams. The ideal candidate has strong administrative skills, excellent communication abilities, and a solid understanding of both healthcare systems and customer service.


Key Responsibilities:


Operations & Coordination



  • Oversee day-to-day administrative operations of the business

  • Coordinate appointments, procedures, and travel arrangements for international patients

  • Manage communication between patients, hospitals, and third-party service providers (transportation, accommodation, interpreters, etc.)

  • Ensure proper documentation and records for all patient journeys


Client Support & Communication



  • Serve as the primary point of contact for clients from inquiry to post-treatment follow-up

  • Provide clear, empathetic, and culturally sensitive communication to patients and families

  • Handle patient queries promptly and professionally


Vendor & Partner Management



  • Maintain strong relationships with hospitals, clinics, physicians, and service providers

  • Negotiate service agreements and ensure timely coordination with medical partners

  • Track service-level performance and report inconsistencies or issues


Compliance & Quality Control



  • Ensure all medical procedures and patient handling adhere to ethical standards and local/international regulations

  • Safeguard client confidentiality and data privacy


Reporting & Admin



  • Prepare regular reports on patient cases, revenue, partner performance, and operational KPIs

  • Manage billing, invoicing, and basic financial tracking in collaboration with the finance team

  • Assist in developing and refining SOPs for operational efficiency


Qualifications & Skills:


Required:



  • Bachelor’s degree in Business Administration, Healthcare Management, or related field

  • Minimum 3 years of experience in a healthcare, medical coordination, or administrative role

  • Excellent verbal and written communication in English (multilingual ability is a plus)

  • Strong organizational and project management skills

  • Proficiency in Microsoft Office, Google Workspace, and CRM tools

  • High emotional intelligence and cultural sensitivity
